Everyone is talking about “writing for AI.” The idea is that tools like Intercom’s FIN, Zendesk’s AI, and similar platforms are now consuming your product documentation to generate answers for customers — so you have a new audience to account for, with different requirements and a different way of reading.

That framing is understandable. There are real AI-specific considerations: how content is chunked for retrieval, how topics are isolated within articles, where the key answer sits relative to surrounding context. These things affect how well an AI performs, and they don’t map perfectly to how a human reads.
But here’s what that framing misses: every underlying problem your AI support tool is exposing already existed. Your customers were already being hurt by it. You just didn’t have a dashboard that showed you.
Been There, Done That
This isn’t the first time the industry has been through this. When search engines matured, there was a wave of anxiety about “writing for SEO” — optimizing content for algorithms rather than humans. That anxiety largely resolved when it became clear that good writing is good SEO. Consistent structure, clear language, authoritative answers — the same things that rank well are the same things readers find useful.
AI support tools are following the same pattern. The difference is the stakes are higher and the feedback is faster.
What the AI Is Actually Telling You
Consider a common scenario. Three articles in your help center touch on how your product handles duplicate orders. One says the system skips duplicates automatically. Another says duplicate detection needs to be enabled in settings. A third says to contact support if duplicates appear.
All three are live. All three are partially true — written at different points in the product’s history by different people.
A human reader lands on one, gets confused, and opens a support ticket. Annoying, but the damage is contained.
Your AI reads all three, synthesizes them into a single confident answer, and tells the customer that duplicates are handled automatically — no configuration needed. The customer takes that at face value, skips the setup step, and starts seeing duplicate orders in their system. That failure lands in support, possibly in churn.
That’s not an AI problem, but a documentation problem that was always lurking. The AI scaled it and made it visible.
The Real Problem Is Organizational, Not Technical
When documentation degrades to this state, it’s rarely because writers don’t know better. It’s because documentation is chronically under-resourced, deprioritized, and treated as a downstream artifact of product development rather than a product in its own right. It’s companies laying off entire documentation departments or thinking (hoping?) a Claude project can change specs and crude drafts into complete, usable documentation with a click.
Features ship. Docs get written. Then the feature changes, or a new edge case emerges, or a different team writes a support article that slightly contradicts the original. Nobody owns the reconciliation. Over time the inconsistencies accumulate.
The fix isn’t a new tool or a style guide. It’s a a critical decision the organization must address: someone has to own the question of what the canonical description of a feature is, and there has to be a process for keeping it current when things change. That means alignment between product, support, and documentation. It means treating content quality as a risk management issue, not a nice-to-have.
What does a functioning system look like? Content is reviewed against existing articles before publication to catch contradictions. Terminology is defined and applied consistently across teams. When a feature changes, there’s a process — not an ad hoc scramble — for finding every article that touches/is touched by it and updating accordingly.
That sounds like process overhead, and it is. But the question isn’t whether you can afford to maintain it. The question is what it costs you when you don’t — in support volume, in customer errors, in AI-generated misinformation delivered with complete confidence at scale.
A Note on What You Can’t Control
Good documentation doesn’t guarantee perfect AI output. Hallucination, model limitations, context window constraints — these are real failure modes that exist independently of your content quality. No documentation practice eliminates them entirely.
What good documentation does is remove the failures you can control, so when something goes wrong, you can determine whether it’s a content problem or a model problem. Without that baseline, you can’t diagnose anything.

Most AI support tools surface which articles they used to generate each answer. That’s an audit trail that didn’t exist before. When support flags a bad AI response, you can work backward through that trail to the source content, identify the ambiguity or contradiction, fix it, and test the question again before the next customer asks it.
That loop is only valuable if someone is running it systematically. Before publishing new content or revisions, test it against your AI. Ask the questions a customer would ask. Here is a useful pre-publication checklist:
- Are the generated answers accurate?
- Do they reflect current product behavior, not an older version?
- Do they contradict anything else live in your help center?
- Does the AI use the correct terminology — not a synonym, not a close approximation?
- Does the answer omit a critical prerequisite, warning, or configuration step?
- Does the AI conflate two different features that happen to sound similar?
- Does the answer apply to the right user role or subscription tier?
- Is the answer complete enough to be actionable?
- If answers are wrong, trace the source and fix it before publishing.
- If answers are right, record them as a baseline to retest when the feature changes.
This isn’t extra work created by AI. It’s a QA step that catches problems you can fix.
Here’s the Business Case
Here’s the part worth sitting with if you’re a manager or a decision-maker: documentation debt has always had a cost. It’s just been a diffuse cost that’s been spread across support tickets, customer confusion, onboarding friction. This can be hard to attribute and easy to defer.
AI support tools changed that. Now the cost is concentrated, traceable, and fast. A bad AI response doesn’t just confuse one customer who eventually figures it out. It gives the same confident wrong answer to every customer who asks the same question, until someone catches it.
That’s the news. And it’s actually good news, because it makes the business case for documentation investment that technical writers have been trying to make for years. The consequences of under-investment are no longer diffuse and deniable. They show up in your support metrics. They show up in your AI tool’s audit trail. They’re traceable back to specific content failures. And eventually they show up in your sales, reviews, and recommendations.
If your organization has been treating documentation as a low-priority artifact as something that gets updated when there’s time, owned by nobody in particular, reviewed by nobody before it publishes, then your AI support tool is going to make that visible in ways that are hard to explain away. Documentation isn’t disposable.
That’s not a crisis. That’s leverage. Start using it as a competitive advantage.
